Presentation Guidelines
Onsite Oral Presentation (Default)
Since this is an in-person presentation only, not a hybrid format, there is no need to share slides via Zoom.
Onsite Oral presentation has 20 minutes: 15 minutes for the presentation, 4 minutes for Q&A, and 1 minute for transition to the next speaker.
[Important] If an onsite oral presenter is absent at the scheduled session time, the paper will be treated as "NO-SHOW" and will NOT be published in IEEE Xplore.
Poster Presentation
Poster (On-site)
Poster presentations are on-site only. There is no online poster session.
Each poster session is 90 minutes long. Presenters are divided into two groups by poster number and present alternately. The core time for each group is 45 minutes:
- Odd-numbered posters: first half of the session
- Even-numbered posters: second half of the session

Outside your core time, you are welcome to visit other posters as an audience member. However, participants may come to your poster at any time during the session, so please stay in the poster room and be available at your poster as much as possible throughout the session.
- Panelboards for each poster will be provided each morning.
- The board is 2.1 meters high and 0.9 meters wide, maximum A0 size (1.190 m x 0.841 m) poster is available. Materials for attaching the poster, e.g., pushpins, will be at the poster session room.
- Poster titles will be indicated in the label on the panel. You may set up your poster from 30 minutes before the session starts; please complete setting up before the session starts and remove your poster within 30 minutes after the session ends (see the table above).
- Presenters MUST be in front of the poster panel and present during their core time shown above.
- [Important] If presenters are NOT present in front of the poster panel during the core time, the papers will be treated as "NO-SHOW" and will NOT be published in IEEE Xplore.
Demo! Presentation
Demo! presentations are on-site only and will not be streamed online.
GCCE provides the following for each Demo! presentation (see the figure below):
- One panelboard: 2.1 meters high and 0.9 meters wide (maximum A0 portrait poster)
- One table: 1.8 meters wide, 0.6 meters deep, and 0.7 meters high
- One chair
- One AC power outlet: up to 150 W

Please bring all other equipment for your demonstration (PCs, displays, cables, adapters, etc.). If you need multiple outlets, please bring your own power strip or extension cord.
You may set up your demo from the morning of your presentation day; please complete setting up before the start time of your session and remove your demo by 17:00 (see the table above). Note that poster sessions are held in the same room, so please take care not to disturb poster presentations while setting up during a poster session.
Packages shipped to the venue (as reported in the Demo! Booth Information Form) must arrive on the day before your presentation. Shipping costs are covered by the presenter, and the organizers cannot be held responsible for any damage or loss during shipping or storage.
Virtual Oral Presentation (Virtual Only)
This presentation format applies only to presenters who are unable to attend in person.
Virtual Oral presentation has 20 minutes: 15 minutes for the presentation, 4 minutes for Q&A, and 1 minute for transition to the next speaker.
Zoom URLs for each session room will be announced here soon.
When joining the session online, please change your display name to include your name and affiliation, e.g. "T. Nonaka, Affiliation".
The passcode will be sent only to registered participants by e-mail before the conference.
Video Submission (for Virtual Oral Presenters)
Virtual oral presentations MUST be given in real time (Japan Standard Time).To prevent problems due to unexpected network troubles, virtual oral presenters are strongly recommended to submit a presentation video (MP4, up to 15 minutes) via EDAS. If a serious connection issue occurs, the conference staff may play your video instead of the live presentation.
[Important] Regardless of whether a video has been submitted, if an online oral presenter is absent during the scheduled session time, the paper will be treated as a “NO-SHOW” and will not be published in IEEE Xplore.
